1. Who we are

Clear Nursery Fees is independently operated (hello@clearnurseryfees.co.uk). This site is independent and is not affiliated with the Department for Education or HMRC.

2. What we collect

When you use this site, Posthog analytics may record: page views, button and link clicks, and calculator interactions. No personally identifiable information is collected. Your child's date of birth, exact monetary values, name, and email address are not stored in analytics.

3. Why we collect it (lawful basis)

We collect analytics data on the basis of legitimate interests (UK GDPR Art. 6(1)(f)): understanding how parents use the calculator allows us to improve its accuracy and usefulness for everyone. This processing is proportionate because no personal data is collected and you can opt out via the cookie banner.

4. Cookies and local storage

If you consent to analytics, Posthog may set a first-party cookie and use localStorage for session continuity. No marketing or advertising cookies are used. Your cookie consent preference is stored in localStorage under the key cnf_cookie_consent and is retained until you clear your browser data.

Posthog EU cloud stores data within the European Economic Area. Vercel may process data outside the UK; they are covered by UK adequacy decisions or Standard Contractual Clauses.

Posthog analytics data is retained for 1 year. Your consent preference is stored locally until you clear your browser data.

8. Your rights

Under UK GDPR you have the right to: access the data we hold about you, request rectification or erasure, restrict processing, and object to processing based on legitimate interests. To exercise any of these rights, email hello@clearnurseryfees.co.uk.

You have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

10. Invoice image processing

When you use the Invoice OCR Scan feature, you upload an image of your nursery invoice. This image is:

  • Processed by Anthropic's Claude API (our named vision AI sub-processor) to extract line items.
  • Transmitted directly to Anthropic's API in the same server request.
  • Deleted from memory immediately after the API response is received. It is never written to disk or stored.

The lawful basis for this processing is contract performance (Article 6(1)(b) UK GDPR) — you request the service and we process your image to fulfil it. No invoice image is retained after the scan is complete.
